VSP 101 Training Travel Reimbursement 

for Volunteer County Work Group Members


To be eligible to receive reimbursement for up to $500.00 in allowable travel expenses to attend the VSP 101 Training on May 4, 2023, each volunteer work group member who wants to attend will need to do the following:

On or before April 28, 2023, submit the Request for VSP 101 Training Reimbursement form.  The form will require the following:

  1. The name of the work group member,
  2. The email address of the work group member,
  3. The name of the county work group on which they serve, 
  4. How long they have been a member of the county work group (only “new” members of a county VSP work group, defined as having served as a voting or non-voting member of the county work group for up to the past 18 months, will be eligible for reimbursement, or those members that need a refresher on the VSP, or those members that are both), and
  5. The name, email address, and phone number of the person responsible for processing VSP vouchers at either the county or the conservation district (if the conservation district is administering VSP on behalf of the county).

An email confirming that the form has been submitted will be sent back to the work group member, and to Bill Eller, VSP Coordinator.  An email confirming that the travel request has been approved for possible reimbursement will be sent from Bill Eller, VSP Coordinator, to the work group member and person responsible for processing VSP vouchers.  Eligible expenses will only be reimbursed if prior approval from the SCC has been provided.

After the May 4, 2023, VSP 101 Training, the work group member must

  1. Document their travel expenses using either the State Conservation Commission’s (SCC’s)  SCC’s travel expense voucher form* or their county’s travel expense voucher form, if the county has one, and
  2. Submit the SCC’s travel expense voucher form (or the county’s form, if the work group member is using the county’s form), along with all receipts for their hotel stay, mileage log or reimbursement form required for mileage to the person responsible for VSP vouchering in their county (i.e., either a county staff member, or a conservation district staff member).  Receipts are required for hotel stay, mileage log or reimbursement form required for mileage.  The form and all receipts must be provided to the person responsible for VSP vouchering in their county immediately after the VSP 101 training.  

All expenditures need to be vouchered for by the person responsible for VSP vouchering in their county by the May voucher, and received by the SCC by June 20, 2023, to be reimbursed.

* Note:  If the work group member is using the SCC’s travel expense voucher form, the work group member does not need to provide their Social Security Number, nor do they need to fill out the “regular work hours” or “official workstation” sections of the form.  

Reimbursement schedule/eligible expenses:  Travel, including mileage at $.655 per mile, Per Diem and Hotel (Lacey Per Diem: Room: $140 + taxes and fees. Meals: Breakfast: $18, Lunch: $20, Dinner: $36).  The traveler must be in travel status during meal period to claim meal.

Expenses submitted after the May voucher will not be reimbursed.  The person responsible for VSP vouchering at the county must provide the work group member’s SCC travel expense voucher form (or the county’s form, if the work group member is using the county’s form), along with all receipts supporting the expenses documented on the form to Nicole Boyes, SCC Contracts Manager at nboyes@scc.wa.gov.

The VSP funding for each county will be amended into the VSP county contract based on actual cost, once vouchered for.
