‘Tis the season for waking up at 5 a.m., donning jogging shorts instead of sweats, and chowing down on power bars instead of turkey. Holiday 5K events are a great way to get some exercise before all of your holiday pitch-ins or dinners – while usually raising money for a charitable organization.

If you’re the one running the race instead of running IN it, there are several online forms for 5Ks that can help make the planning process a bit easier. Using Formstack, you can quickly create the forms you need to help your 5K event go off without a hitch, from the starting sound to the last runner across the finish line.

Here are 6 forms that you can create with Formstack to help plan a 5K:

  1. Sponsorship Inquiry Form. A huge aspect of a successful 5K is acquiring sponsors to help offset the costs of hiring security, matching donations, and other expenses. With a sponsorship inquiry form, you can start to attract potential partners and businesses. If you use a customer relationship management (CRM) app, you can integrate your Formstack form, which will automatically pass all new sponsor leads to this tool.

  2. Volunteer Form. Without volunteers, a 5K is nothing. Build a 5K volunteer form using Formstack to recruit people for your big event. All of our forms are mobile-ready, just in case you’re out at a social event and someone expresses interest in volunteering. You can also use conditional logic to show and hide volunteer roles based on someone’s interests.

  3. Registration Form. So in order to get runners to show up on the day of your 5K, you need to have them actually, ahem, register. Fortunately, Formstack makes it easy to create a 5K registration form and collect all of the registrant information you need. Integrate your form with your email marketing tool to quickly send race information to all runners, and connect it to one of our payment gateways to collect donations or entry fees.

  4. Waiver Form. If you need a waiver form for your 5K, you can use Formstack’s e-signature feature to collect any necessary signatures you need before the event. All signatures are saved as a PDF, which can also be backed up to the cloud using our Dropbox or Box integrations.

  5. Check-in Feature. If you don’t feel like dealing with paperwork on the day of your event, use Formstack’s Approval Workflow feature to check runners in on the day of the event. Go to the registration form’s Submissions tab and instruct volunteers to approve participants when checking in. Then, you can filter the Approved submissions to see who showed up to run on the day of the 5K.

  6. Follow-up Survey. Every event needs a follow up survey to make sure the next one is even better. Fortunately, Formstack features the fields you need to create a thorough follow up survey, including radio and checkmark buttons. We also allow you to quickly create charts, so you can analyze your results more thoroughly.
